Purpose
The Events Finance Associate will serve as a member of the University Development Office Finance Team providing excellent customer service to our TEXAS DEVELOPMENT and campus community. The Events Finance Associate, under supervision of the Associate Director of Finance or other appropriate member of the Finance Team, will provide services involving, but not limited to electronic voucher processing, account recording, and reconciliations, Purchase Order creation and general administrative duties as assigned. The Events Finance Associate will be a member of a dynamic team that serves the accounting, budgeting, travel and facilities needs of our professional organization.
Responsibilities
Create payment documents in the DEFINE system, including VP1, VP2, VP7, VPE, VT5 and VT6 documents, wire transfers, as well as other financial and accounting documents, while maintaining compliance with UDO, UT and state regulations and ensuring payments are made in a timely manner. This includes collection of necessary documentation. Create purchase orders and PO change orders when needed.
Administer, track and reconcile Events procards and Event Citi Cards.
Attend regular weekly meetings with the University Events planning and execution team.
Provide consistent, timely and reliable communication to clients via email or other methods regarding status of approvals, returns, and process changes.
Assist the Finance Team with locating, investigating, researching and resolving challenges as they arise that pertain to UDO finance related matters.
Provide high-level customer service to our internal UDO Customers, the TEXAS DEVELOPMENT community, the University community and our external constituents.
Be able to accurately and efficiently process high volumes of documents with tight deadlines.
Additional duties as assigned to benefit UDO and the Finance Team.
Required Qualifications
Bachelor's degree with one year of experience in a similar capacity.
Professional demeanor, excellent customer service abilities, effective communication skills, collaborative outlook, and initiative.
Proficiency in Microsoft Office applications.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Demonstrated experience with the University of Texas financial systems and accounting procedures.
Experience with creating Define vouchers.
Experience with managing and reconciling Procard and Citi Events Cards.
Knowledgeable of the University’s procurement, payment, and audit processes. Proficiency in Excel, PointPlus, FRMS, DEFINE, and the Req System.
Salary Range
$55,000
